66 an hour Real Estate Executive Assistant We are looking for a motivated, self-starter Executive Assistant with a valid CA Real Estate License and sales and or administrative experience to support a prominent real estate team in Mill Valley, Marin County.
The Executive Assistant shall be a highly resourceful team player who is professional, sophisticated, and has the emotional intelligence to support the members and their high net-worth clients.
The position requires the proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest customer/client service level.
In a supporting role, a successful individual will have the drive to push the business forward with solid execution, resourcefulness, and the ability to prioritize complex business and team member needs.
Essential Functions:
Post, track, and manage postings Top Agent Network and Platinum Group Bulk mail and organize property flyers, brochures, and advertisements Collation and occasional bulk mailing of advertising materials, brochures, and floorplans Schedule and be organized for weekly team meetings with executives in the conference room Update Skyslope with internal company listings/escrows/closings/rentals MLS:
o Enter new listings (photos, property details, ad-copy, brokers opens, open houses) o Update listings for price changes, modification of terms, and change of status o Communicate any new listing entries, updates, and price changes to marketing and the executives o Track expired listings and file accordingly o Troubleshoot any issues such as incorrect data, Bareis, clientsinformation Scheduling:
o Inspectors, vendors, local area authority inspections, contractors, floorplan surveyors o Provide written schedules and fee reports in Excel and PDF format o Arrangeand occasionally conduct Property Showings, Open Houses, Brokers Opens, Zoom, and Team calls.
Emails -Assisting with email composition on behalf of executives; corresponding with clients, vendors, local area authorities, title companies, RE agents, appraisers, marketing, accounting, personal Evaluate and summarize Inspection Reports Support in drafting contracts and DocuSign contract documentation - listing, escrow sales contracts, rental agreements, modification of terms Provide blank disclosure packets to the seller, collating and checking disclosures - submit via DocuSign for signatures Collate and maintain all property disclosures and provide them to all interested parties via Disclosures.
io Open escrow with title companies and coordinate with title companies, clients, and agents throughout the escrow process Update Outlook Calendar and Contacts Reporting:
o Maintain and update Performance-Revenue Reports on Google Docs.
o Provide Comparative Market Reports, including hyperlinked reports Daily communication of daily tasks and action items needed to complete the work Responsibility for handling the organization and administration of clients; coordination and management of all client gifts Must be able to work weekends, if needed by executive

Qualifications:
Valid California Real Estate License with a minimum of five year's experience and a solid understanding of real estate contract documents Valid California driver's license and state minimum insurance coverage Reliable presentable vehicle - mileage reimbursement College degree Detail oriented Tech Savvy Must show proficiency on all used platforms within a month (SkySlope, Glide, DocuSign, Zipforms, Microsoft Teams, Word, Excel, and Adobe) ESSENTIAL PHYSICAL REQUIREMENTS:
