Executive Assistant, Product & Engineering

We are looking for a top notch Executive Assistant to join our team.  The ideal candidate will be able to juggle multiple calendars simultaneously in a fast paced environment, handle a heavy volume of cross functional meetings and events, interact with key constituents, both internal and external, coordinate a variety of meetings and events - both large and small in scale, and provide a high level of support to executives in a growing global organization.  If you are a career EA with at least 5 years' progressive experience in a related position then we want to talk to you! What You'll Do: Manage calendars for multiple business leaders and senior management within Product and Engineering department. Schedule departmental and cross-functional meetings and coordinate resources across multiple locations and time zones. Serve as a liaison with vendors and partners as required. Assist with special projects and department events, such as monthly or quarterly product planning, Hackaton, team building activities, and otherinternal meetings. Receive guests and direct visitors. Prepare, maintain and share Google docs and sheets to facilitate projects and workflow. Coordinate domestic and international travel arrangements. Prepare monthly expense reports. Assist with special projects as directed. Maintain new hire list, make sure new hires' workspace and trainings are in place. Support executives and their teams in both the San Francisco and Mill Valley offices. Support the EA team in a variety of ways, including coverage when they are out. Create and maintain distribution lists for small teams within the product and engineering departments. Work with executives to schedule phone screens and interviews with candidates.  What You'll Bring: Minimum 5 years of experience supporting multiple executives in a group/department setting. Proficiency in Google suite, G-mail, Google Calendar, Google Docs, Groups, including applications such as Word, Excel, PowerPoint, internet savvy. Familiarity with Concur, Coupa, Workday, Blue Jeans web conference, Slack chat, other office tools. Strong customer service orientation with effective communication, organizational and interpersonal skills. Ability to be detail oriented, meet deadlines and handle a variety of responsibilities. Strong organizational skills with the ability to multitask in a fast-paced environment. Excellent follow through with an eye on the big picture. Dependable and consistent, always taking pride and ownership in your work. Extremely proactive with a focus on Exceptional task and time management skills. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
